Leader / organisation

What to do for your role

The organisation needs clear reporting routes, defined responsibilities and an alternative for conflicts of interest.

If something concerns you
1
Receive and route for assessmentEnsure every concern is reviewed by trained people with clear safeguarding responsibilities.
2
Record securelyKeep objective records, restricted access and an audit trail.
3
Look for patterns and repetitionReview lower-level concerns and repeated situations; do not wait for them to escalate.
Avoid: Do not turn every concern into a disciplinary matter before considering the safeguarding dimension.
If someone shares or discloses something serious
1
Activate the case-management processAssessment and case management should be handled by trained people with clearly defined responsibilities.
2
Manage conflictsIf the safeguarding lead or a leader is involved, use an independent or higher route.
3
Coordinate referralsConsult or refer to child-protection services or the relevant authorities when appropriate under local law, and avoid interfering with external investigations.
4
Provide supportProvide information, protection from retaliation and support to the affected person and anyone reporting in good faith.
Avoid: Do not put institutional reputation ahead of people’s safety and wellbeing.
If there is immediate danger
1
Activate an urgent responseProtect the person and contact relevant services without unnecessary delay.
2
Preserve informationProtect records and available information without compromising an investigation. Do not request or duplicate intimate material unless directed by a relevant authority.
3
Coordinate the caseSet responsibilities, limit information to people who need it to protect the person and manage the case, and document follow-up.
Avoid: An internal policy never replaces legal duties or action by relevant authorities.
